01Who is responsible?
Hexcore is a trading name of Jengu Ltd, registered in England and Wales under company number 14157991. Jengu Ltd is the controller of personal information used for the purposes described here.
Our registered office is 5 Reynolds Court, Bath Road, Thatcham, England, RG18 3JN. Contact info@hexcore.digital about this notice or your information. This notice covers hexcore.digital and www.hexcore.digital; Jengu has its own website privacy notice.
02When you contact us
We receive the contact details and project information you submit: your email address, any name or phone number you provide, your preferred contact method, project description and requested meeting time. We use these to answer you, prepare a quote, arrange a conversation and handle your request.
Forms are processed by our hosting service and stored for handling your enquiry. An email notification is sent to the Hexcore team. A preferred meeting time is a request until our team confirms it.
03AI conversations and voice
Typed questions and conversation context are processed by our AI service provider to produce replies. If you choose voice conversation and allow your microphone, your audio is processed by our AI service provider during the session.
Typed questions, assistant replies and voice transcripts are recorded and available to the Hexcore team. We use them to understand enquiries, follow up when requested and review how the assistant works. Our website recorder stores transcripts, rather than an audio recording of your microphone.
Only share information you are comfortable including in that conversation. Please do not enter passwords, payment details, sensitive personal information or information about other people that you are not entitled to share. You can stop voice at any time or contact us by email instead.
If you ask the assistant to pass an enquiry to the team, it reads back the details and asks you to confirm before submitting that enquiry. Conversation recording is separate from that confirmation. Contact us for further information about our service providers and their handling of data.
04Website activity and security
We record session identifiers, interaction times, selected topics, interface actions, errors and contact outcomes alongside conversation events. Our hosting service also processes technical request information such as IP addresses and browser information to deliver and protect the website. The interaction service uses a daily hash derived from the IP address for abuse limits.
These records help us understand how the experience is used, investigate problems and prevent abuse. They are not anonymous if they can be linked to you or information you put into the conversation.
05Why we use this information
- Enquiries, quotes and project delivery: steps you request before entering a contract, or performing our contract with you. For enquiries made on behalf of a business, we also rely on our legitimate interest in responding to business requests.
- Operating the assistant, reviewing conversations, technical records and security: our legitimate interests in providing the website, understanding requests, improving our service and preventing misuse. You can object to processing based on legitimate interests.
- Legal and accounting records: meeting legal obligations where they apply.
Microphone permission lets your browser provide audio; it is not permission for unrelated marketing. We do not make decisions about you with legal or similarly significant effects solely through this website’s AI assistant.
06Who receives it
Authorised people working for Jengu Ltd may access information needed to handle your request or operate the service. Our service providers support hosting, security, information storage, enquiry notifications, and AI text and voice conversations. Email and business-system providers process messages we receive and send.
We may also disclose information to professional advisers or authorities where needed for legal obligations or to establish, exercise or defend legal claims. Links to other websites lead to services with their own privacy notices.
07Cookies and browser storage
The moon homepage uses a first-party hexcore_session cookie to support sessions and request limits. It has a one-hour lifetime which can renew while you use the site. It is marked Secure, HttpOnly and SameSite=Strict.
The hexcore-interactions-v1 entry in session storage holds a visit identifier and queued interaction events, including conversation text awaiting delivery. Session storage normally lasts for the tab’s session; the recorder drops queued events older than 24 hours when processing its queue. This does not delete records already received by Hexcore.
You can clear or block storage in your browser. Blocking it can affect session and conversation features. You can still email us directly.
08How long we keep information
We keep information for the purpose for which it was collected. The retention period depends on whether an enquiry remains active, whether it becomes a client project, the need to investigate service or security issues, and any applicable accounting, legal or dispute requirements. Conversation and interaction records are held separately from the short-lived browser session.
Contact us to ask what we hold and to request deletion. We will explain any information we need to retain and why. A one-hour cookie or a closed browser tab does not mean that server records have been deleted.
09Processing outside the UK
Our service providers operate internationally, so information may be processed outside the UK. The safeguards that apply depend on the provider, service and destination, including applicable adequacy arrangements or contractual transfer terms. Contact us for details of the arrangements applicable to your information.
10Your rights and choices
Depending on the circumstances, you can ask to access, correct or delete your personal information, restrict its use, receive a portable copy, or object to processing based on legitimate interests. Where processing relies on consent, you can withdraw it without affecting earlier lawful processing.
Email info@hexcore.digital to make a request. We may need enough information to verify your identity and find the relevant records. These rights are subject to legal conditions and exceptions.
You can complain to the UK Information Commissioner’s Office, or your local data protection authority where applicable. You do not have to contact us first, although we welcome the chance to resolve a concern.
11Updates
We will update this notice when our services or data practices change. The date at the top shows the latest revision. Contact us if you need an earlier version or further information.
